URL: https://mtechnology.co/en/industries/healthcare --- Industries · Healthcare # Healthcare software development We build the software around patient care at your clinic, IPS (healthcare provider) or medical practice: online scheduling, reminders, a patient portal, patient inquiries and complaints in a single queue, and connections to the systems you already use. We don’t sell electronic health records: those stay in your clinical system. Our job is to make booking an appointment easy, give every patient message an owner and make sure data isn’t typed twice. We work from Bogotá for all of Colombia. The medical consultation works. What breaks down is usually everything around it: scheduling, communication with the patient and the paperwork that comes afterward. ### The schedule lives in a notebook, or in three places at once The patient calls, messages on WhatsApp or books at the front desk, and each channel is noted wherever possible. The result: double-booked appointments, gaps nobody fills and a front desk that spends the day confirming by phone. ### The patient didn’t show up and nobody reminded them A forgotten appointment is an hour lost for the practitioner and a slot another patient actually needed. Without reminders or a waitlist, it stays empty. ### The complaint came in on Instagram and nobody saw it In Colombian healthcare, complaints have short deadlines set by the National Health Superintendency (Supersalud). If they arrive through a channel nobody checks, the problem stops being about service and becomes one of compliance. ### We type the same thing two or three times Patient data is written into the schedule, again into the clinical system and again into billing. Every copy is a potential error, and errors end up as claim denials and returns. Before you hire ## Do you need electronic health records software, or what goes around it? Almost always, what goes around it. Electronic health records and healthcare billing are handled by specialized vendors, with products designed for that. If you don’t have one yet, start there: you don’t need anyone to build you a clinical system. Where it is worth building custom is in what that product doesn’t do, or does in a way that doesn’t match your operation: - **The scheduling the patient uses,** with your locations, specialties, practitioners and preparation rules, not a generic template. - **Patient communication through WhatsApp, social media and email,** organized in a single queue instead of spread across the front desk’s phones. - **Complaints and requests (PQRS),** logged with their type and deadline, with an owner and a history. - **The dashboards and reports** that someone puts together by hand every month from three different exports today. - **The connection between all of that** and your clinical system, so data is captured once. We review it in the assessment, free of charge, before proposing anything. If what you need already exists as a product, we’ll tell you. What we build ## What software do we build for clinics, IPS and medical practices? We don’t sell an electronic health records system. We build what your operation is missing around it, tailored to how your team works. 01 ### Online appointment scheduling The patient chooses location, specialty, practitioner, date and time from their phone, and only sees the slots that are actually free. Your team sees the same schedule, with no double bookings. 02 ### Reminders, confirmations and waitlist A reminder with the time, the address and the preparation each test or procedure requires. If someone cancels, the slot is offered to whoever was waiting. For telehealth visits, the meeting link goes out with the reminder. 03 ### Patient communication and complaints in a single queue WhatsApp, social media, email and phone arrive in one place. Every request, complaint or grievance is logged with its type and the deadline that applies to that kind of case, with an owner and its history. That’s what [Support 360, our patient support and complaints solution](https://mtechnology.co/en/support-360) does. 04 ### Website and patient portal A website that explains your services in plain language, introduces your specialists and lets patients book without calling. And, if your operation needs it, a portal where patients check their appointments and download whatever you decide to share with them. 05 ### Administrative workflow automation Management dashboards, reports that used to be put together by hand and authorization and approval workflows between departments. Data is captured once and every department sees the same thing. This is [custom software development for clinics and IPS](https://mtechnology.co/en/services/custom-software). 06 ### An AI agent on WhatsApp for patients: FAQs, no clinical advice On WhatsApp and the other channels, they answer hours, preparation, location and requirements at any time, citing the source you approved, and hand off to a person whatever they can’t back up. They don’t give diagnoses or clinical recommendations. Integrations ## Does it connect with the software your clinic already uses? If your vendor offers a way to connect, yes. What we build is designed to connect with your clinical system, your billing and your patient communication channels, instead of asking you to replace them. The exact scope depends on what each vendor offers, and it’s reviewed in the assessment before promising anything. ### Patient communication and scheduling Conversations that are recorded and appointments that show up on the practitioner’s calendar. - WhatsApp Business API - Google Calendar - Outlook ### Your clinical system Through the integration your vendor offers. Only the data each process needs is queried or sent. - Your vendor’s electronic health records ### Healthcare billing In Colombia, the electronic invoice and the RIPS (health services records) are generated by your billing software. What it receives from scheduling and patient communication is reviewed with your vendor in the assessment. - Your healthcare billing software ### Payments Private consultations and copays paid online and reconciled in the system. - Wompi - PayU - PSE - Card Health records never leave your clinical system. We have no commercial partnership with any of these vendors: we name them because they are the ones healthcare institutions use in Colombia. Regulations ## Which regulations should you keep in mind? The case of Colombia Patient data. Under Colombian law, health-related data is sensitive data (Law 1581 of 2012, Article 5, regulated by Decree 1377 of 2013), and processing it generally requires the data subject’s explicit authorization (Article 6). That’s why every form, every schedule and every chat is designed around the question of what data is truly needed and who can see it. How we handle data ourselves is set out in our [data processing policy](https://mtechnology.co/en/personal-data-policy). RIPS and electronic invoicing. Resolution 2275 of 2023 of the Ministry of Health and Social Protection defines the RIPS as the supporting record for the electronic sales invoice in healthcare: it is generated in JSON format and validated by the Ministry’s Single Validation Mechanism (Mecanismo Único de Validación). Resolutions 558 and 1884 of 2024 amended it, among other things regarding its transition period. Generating the RIPS and submitting it for validation is the provider’s responsibility, usually through its billing software. Health records. Law 2015 of 2020 created the interoperable electronic health record, and Resolution 866 of 2021 defined the clinical data relevant to that interoperability. Health record management is governed by Resolution 1995 of 1999, amended by Resolution 839 of 2017. In July 2026 the Ministry published for comment a draft resolution that would unify the rules on health records; it is a draft, not a regulation in force. Complaints and grievances (PQRS). External Circular 2023151000000010-5 of 2023 of the National Health Superintendency sets maximum deadlines for resolving healthcare complaints, shorter the greater the risk to the patient. In what we build, the deadline is configured by type of case, and which ones apply to your institution is something we review in the assessment. This section is for information only: it describes the regulations to guide a project and does not replace legal advice. Compliance is each institution’s responsibility; validate your case with your legal or quality advisor. How we work ## How do we run a healthcare software project? The same as any custom project, with two extra precautions: patient data and the deadlines set by regulation. - 01 ### 30-minute assessment, free of charge To understand how appointments are booked today, where complaints come in and what systems you use. If we’re not the right option, we tell you right there. - 02 ### Mapping with the people who serve patients We talk to the front desk, billing and medical coordination, not just management: the right software comes from the real process, and in healthcare the real process is at the front desk. - 03 ### Data first Before designing screens we define what patient data is used, who sees it and how authorization is requested. - 04 ### Built in increments You see working progress and test it with your team from the first weeks, not a document at the end. - 05 ### Go-live and evolution We migrate whatever is needed, train the team and keep going: the operation changes and the system changes with it. The code and the data are yours. Real projects ## What have we done in healthcare? In healthcare, the first consultation starts online: the website has to convey clinical credibility, load fast and let patients book without calling. Medtravel ### Medtravel: website with online scheduling Design and development of the website for a medical services company in Bogotá, built for local and international patients. The patient chooses the location, date and time without calling, gets to know the specialists and services before the visit and finds answers in a frequently asked questions section. Optimized for mobile and local search, with training for the team. Built on WordPress with Elementor. Design and development of the website for a psychology practice in Bogotá that sees clients in person and by video call, including people living outside Colombia, and of Elanthia Clínica, the software its team uses for clinical records, scheduling and payments. Each psychologist sees only their own clients and every access to a record is logged; appointments are confirmed and reminded over WhatsApp. [See the project : Elanthia](https://mtechnology.co/en/portfolio/elanthia) Some of our healthcare clients - ![Plexus Medicina Diagnóstica logo](https://mtechnology.co/_astro/logo-plexus-laboratorio.BCu2-Mrp_YSllT.webp) - ![Ortopédicos Disalud logo](https://mtechnology.co/_astro/logo-ortopedicos-disalud.Dn5WgUel_Z1zQmq4.webp) - ![Farmacia Institucional logo](https://mtechnology.co/_astro/logo-farmacia-institucional.CkbXdr5j_yJW.webp) - ![TRU-Life Health Care logo](https://mtechnology.co/_astro/logo-tru-life.BkACmm7M_Z1AHiPf.webp) The projects belong to our clients and MTechnology built them; each case study says so. No. We build the software around patient care —scheduling, reminders, patient communication, complaints, portal and reports— and connect it to the health records system you already use. The health records stay in your clinical system. ### What software does an IPS need in Colombia? As a baseline, a health records system and a billing system that generates the electronic invoice and the RIPS; specialized vendors handle that. What’s usually missing around them is what we build: a schedule patients can use on their own, reminders, an organized channel for complaints and the connection between all of it so nothing is typed twice. ### Can a chatbot serve patients on WhatsApp? Yes, for administrative matters: hours, test preparation, location and requirements. It answers with the information you approved and cites where it comes from; whatever it can’t back up goes to a person. It never diagnoses or recommends treatments, and since health data is sensitive, what is asked through that channel is defined with you from the design stage. ### How do you protect patient data? Health data is sensitive under Colombia’s Law 1581 of 2012, and we treat it that way: we ask only for the data that’s needed, limit who can see it according to their role and define with you how the patient’s authorization is requested. How we handle data ourselves is set out in our [data processing policy](https://mtechnology.co/en/personal-data-policy). ### Can you track complaints against Supersalud’s deadlines? With [Support 360](https://mtechnology.co/en/support-360), every case is logged with its type and the deadline is configured by type of case, because in healthcare a complaint doesn’t have the same deadline as a general request. Which deadlines apply to your institution and how they’re configured is something we review in the assessment. ### How much does a project cost and how long does it take? It depends on what’s being built and how many systems it has to connect to. In the assessment, 30 minutes and free of charge, we understand your case; with that, we present a written proposal with scope, timeline and investment. ## What’s falling through the cracks today between the appointment and the invoice? Let’s start there. In 30 minutes, free and with no commitment, we review how patients reach your schedule today and what gets lost along the way.
